Nobody plans to become an executor. One week you’re visiting Mom or Dad at the house you grew up in, and a few months later you’re standing in that same kitchen wondering what on earth to do with forty years of belongings, a furnace that hasn’t been serviced, and a property tax bill with your parent’s name still on it.
I’ve been selling homes in Greater Sudbury since January 1, 2015, and I can tell you estate sales are different. They’re emotional, they come with paperwork most families have never seen before, and the house usually needs real work before it’s ready for buyers. This year alone, Team KING has helped with about half a dozen estate sales, and every one of those families was thrilled with how it went and how the house sold.
Here’s exactly how we handle an estate home, start to finish, so you know what to expect.
The Reality Check: An Estate Home Is Not a Regular Listing
When a family sells their own home, they live there, they keep it clean, and they know every quirk. An estate home is a different animal:
- It’s often been lived in by the same person for decades, so it’s full.
- It may have sat empty for weeks or months, with the heat turned down and nobody checking on it.
- The decision makers might be two or three siblings, and one of them may live in Toronto, Alberta or further.
- There’s a legal side (the will, the estate trustee, sometimes probate) that has to line up with the sale.
That’s why “just list it” rarely gets you top dollar. The families who do best are the ones with a plan.
Step 1: Get the Paperwork Moving (and Get a Lawyer)
I’m a REALTOR®, not a lawyer, and this is general information, not legal advice. But I’ve been through this enough times to tell you the first call should be to an estate lawyer. They’ll tell you whether the estate needs a Certificate of Appointment of Estate Trustee (what most people call probate) before the house can close, and how long that’s likely to take. Ontario lays out the process on its apply for probate of an estate page. If you don’t have a lawyer, the Law Society of Ontario Referral Service can point you to one.
While the lawyer handles the legal side, we can get started on the house. The paperwork and the prep can run at the same time, which saves the family weeks.
Step 2: Know What the House Was Worth (Our Free Opinion of Value)
The estate usually needs to know what the home was worth on the date of death. That number affects the Estate Administration Tax and can matter for the final tax return too, so your accountant will want it.
Team KING provides an Opinion of Value letter for Sudbury estates free of charge. It’s based on real comparable sales in that neighbourhood, whether the house is in the South End, New Sudbury or out in Garson where I grew up. I wrote more about why that number matters in The “Messy” Side of Real Estate.
Step 3: Organizing, Decluttering and the Clean-Out
This is where most families get stuck, and honestly, it’s where we make the biggest difference. Going through a parent’s home is exhausting. Every drawer has a memory in it.
We help you work through it in a sensible order:
- Keep: photos, papers, family pieces and anything the will names. Family goes through first, on their own time.
- Donate: furniture, housewares and building materials in good shape can go to places like the Habitat for Humanity ReStore, which offers pickup for larger items.
- Sell: anything with real value gets set aside.
- Recycle and dispose: old appliances, mattresses, electronics and scrap metal have their own drop-off areas at the city’s landfill diversion areas.
We coordinate the people who do the heavy lifting, so you’re not renting a truck and spending three weekends hauling boxes. If you live out of town, that part can happen without you being there.
Step 4: Cleaning, Painting and Staging
Once the house is empty, buyers see everything: the yellowed walls, the worn carpet, the dated light fixtures. This is where an estate home either sells for top dollar or sits.
We get the home deep cleaned top to bottom, painted in fresh neutral colours, and staged so buyers can picture themselves living there. These are the same steps we take on every Team KING listing, and they matter even more for an estate home that’s been lived in for decades. You can see the thinking behind it in our 7 staging tips.
The “Upgrade Trap”
A word of caution: a fresh coat of paint and a deep clean are one thing; a full kitchen renovation is another. Big upgrades cost the estate money and time, and they can change the tax picture for the beneficiaries. Talk to us and your accountant before you start tearing out cabinets.
Step 5: Top-of-the-Line Marketing
When the house is ready, we market it like any other Team KING listing: professional photography, top-of-the-line video and drone footage that shows off the lot, the neighbourhood and any water nearby, plus targeted marketing to reach the right buyers. Estate homes are often on great lots in established neighbourhoods, and the drone footage makes that obvious.
Step 6: Keeping Everyone in the Loop
Estate sales go smoothly when everybody knows what’s happening. We keep the executor, the lawyer and the rest of the family updated through every step: showings, feedback, offers and closing. For out-of-town family, that means video walkthroughs and quick calls instead of flying back to Sudbury every time something needs a decision.
One practical tip while the house sits: call the home insurance company right away. Many policies have conditions about vacant homes, and a frozen pipe in a Sudbury January is the last thing an estate needs.
